What Is GoHighLevel, and Is It Right for an Australian Service Business?
Quick answer
GoHighLevel, now called HighLevel, is an all-in-one platform combining a CRM, funnels, calendars, a shared inbox and workflow automation. It can suit Australian service businesses that want capture, follow-up and booking in one place, if someone will build and maintain it and handle local SMS and privacy setup.
GoHighLevel, which now calls itself HighLevel, is an all-in-one platform that combines a CRM, funnels and websites, calendars, a shared inbox for SMS and social messages, and workflow automation. It can suit an Australian service business that wants lead capture, follow-up and booking in one place and has someone willing to build and maintain it. It is less suited to a team that only needs a simple sales pipeline, or one with no time to learn a broad tool.
A disclosure first. Our own team uses HighLevel to run our CRM and follow-up. This is not affiliate content, there are no affiliate links on this page, and we do not earn anything if you sign up. Product facts below come from HighLevel's own website and help centre, checked on 17 October 2026. Features change often, so confirm anything important with HighLevel before you buy. We have left pricing out on purpose, because plans change and depend on how you use the platform.
What is GoHighLevel?
HighLevel's homepage describes the product as "the AI-powered business operating system" and "a truly all-in-one platform built for operators, not just marketers". It groups its features around the customer journey:
| Stage, in HighLevel's words | Examples of features listed |
|---|---|
| Get more leads in the door | CRM, Voice AI, Ad Manager |
| Build relationships that convert | Conversation AI, sales pipelines, workflows and automations |
| Close deals with less back-and-forth | Invoicing, payment integrations, paid calendars |
| Create fans, not just customers | Reputation management, automated review requests, affiliate manager |
| Get back on their radar | Broadcast campaigns, smart lists and segmentation, newsletter automation |
HighLevel is built around "sub-accounts". Its plans are positioned from freelancers and solo marketers through to growing agencies, and the agency plans include multiple or unlimited sub-accounts. That is why so many marketing agencies use it: one agency account can run a separate sub-account for each client. A business owner can also use it directly for their own business.
People still search for "GoHighLevel" and "GHL". In this article we use HighLevel, the name the company uses itself.
What does HighLevel do well for a service business?
The main strength is that the pieces of a lead journey live in one place. For a coach, consultant, clinic, trade or professional firm, that usually means:
- Forms and landing pages that feed the CRM directly. No separate tool to connect, so a new enquiry creates a contact and can start a workflow straight away.
- Workflows. HighLevel's getting started guide explains a workflow as an automated sequence of actions started by a trigger, such as a form submission. This is how you build instant replies, follow-up sequences and reminders.
- Missed call text back. HighLevel's help article says the feature automatically sends a text to a caller when an inbound call is missed, and that it respects a contact's communication preferences and DND (do not disturb) settings. If you want to know whether this is right for you, read what a missed call text back is and whether it is legal in Australia.
- One inbox. SMS, email and social messages in one conversation view, so replies do not depend on someone checking five apps.
- Calendars and reminders. Booking links and automated reminders that cut no-shows. Our guide on how to reduce no-shows covers the cadence.
- Review requests and reactivation. Automated review requests and broadcast campaigns to past enquiries, used carefully.
For a business that currently runs forms in one tool, email in another and bookings in a third, consolidating can remove the hand-offs where leads get lost.
What are HighLevel's limits and how steep is the learning curve?
This section is our view from using the platform, not a vendor claim.
- Breadth means setup work. Because it does so much, a fresh account is a set of building blocks, not a finished system. Someone has to design the pipeline, write the messages, build the workflows and test them.
- Workflows need testing. HighLevel's own workflow builder walkthrough separates Draft mode, where the workflow will not run for real, from Publish mode, where it will. Treat publishing like switching on a machine that messages real people.
- Defaults are not always what you want. HighLevel's missed call text back article notes the feature "triggers an SMS notification for every missed call", even if the same caller tries several times in a short period. It recommends customising the workflow recipe, for example with a wait step, to avoid repeated messages.
- It is not specialist software. A clinic still needs practice management software for clinical notes, and a trade may still prefer dedicated job management for quotes and on-site work. HighLevel works best at the front of the journey: capture, reply, follow-up and booking.
- The person who builds it matters. An account built by someone who understands both the tool and your sales process works very differently from one set up in a weekend from templates.
Plan for the learning curve. Expect a few weeks before a small team is confident, and keep one person accountable for checking the automations every week.
Who does HighLevel suit compared with HubSpot or Pipedrive?
These tools overlap but start from different places. The table is a general guide, not a ranking. Our full comparison, with data residency details for each vendor, is in what is the best CRM for an Australian service business.
| HighLevel | HubSpot | Pipedrive | |
|---|---|---|---|
| Starting point | All-in-one: funnels, CRM, messaging, workflows | CRM with separate paid hubs for marketing, sales and service | Visual sales pipeline |
| Often suits | Agencies, coaches, consultants, local service businesses wanting one platform | Professional firms and B2B services with longer, email-heavy sales cycles | Businesses with a defined sales process and people whose job is to close |
| Watch for | Setup effort, who maintains it, data hosting questions | Which features sit in paid hubs, data centre assignment | Extra tools needed for pages, SMS and marketing automation |
A simple test: if your biggest problem is that enquiries wait too long and follow-up is patchy, an all-in-one tool like HighLevel is worth trialling. If your biggest problem is managing a long list of proposals and deals, a pipeline-first CRM may be simpler.
What should Australian businesses check before using HighLevel?
Most HighLevel content online is written for the United States. Australian businesses have different rules and different setup steps. This is general information, not legal advice.
Australian phone numbers need a regulatory bundle
HighLevel's help article on Australian (+61) local numbers says every Australian local number must be linked to an approved Regulatory Compliance bundle, with an action date of 1 July 2026. The bundle includes a registered business name, a registered Australian business address, proof of business registration and an authorised representative's government photo ID. The article says numbers without a bundle stop sending or receiving calls and messages, with no grace period, and the number may be reclaimed. For agencies, it says to create a Business bundle in the client's sub-account using the client's company details, not the agency's.
A2P 10DLC is a US registration
You will see "A2P 10DLC" all over HighLevel content. HighLevel's help article explains that 10DLC refers to the standard 10-digit local numbers used for business messaging in the United States, and the article also covers Canadian numbers. If you text Australians from an Australian number, ask HighLevel support which registrations apply to your setup rather than following a US guide.
Branded SMS and the ACMA Sender ID Register
If your texts show your business name instead of a number, the ACMA's SMS Sender ID Register applies. From 1 July 2026, unregistered sender IDs are replaced with "Unverified" and grouped with other unverified messages, including scams. The ACMA's list of common issues and mistakes warns that people generally cannot reply to a sender ID, so "reply STOP" does not work on those messages. Ask your provider how sender IDs work in your account before you rely on one.
Spam Act settings are your job
HighLevel's SMS compliance settings can automatically add sender identification and opt-out wording, such as "Reply STOP to unsubscribe", to the first outbound message in a conversation. The article says this is enabled by default for new sub-accounts and disabled by default for existing ones. That helps, but it does not give you consent. Under the Spam Act 2003, the ACMA says you need consent before sending marketing messages, each message must identify you and offer an easy unsubscribe, and unsubscribe requests must be honoured within 5 working days (ACMA). Put clear consent wording on your forms and record it on the contact.
Data location: questions to ask
HighLevel publishes a Data, Privacy and Compliance FAQ for Australia, last modified 8 October 2026 when we checked. It says data is backed up daily to the local region, that personal data at rest is encrypted with AES-256-CBC and data in transit uses TLS 1.2 or higher, and it refers to a Data Processing Agreement for breach notification. When we read it, it did not state the country where primary account data is stored. If that matters to you, ask HighLevel directly and get the answer in writing.
The OAIC says most small businesses with turnover of $3 million or less are not covered by the Privacy Act, but health service providers are covered regardless of turnover. If you are covered, APP 8 sets out the steps to take before disclosing personal information overseas. Questions worth asking any platform:
- Which country and data centre will my account data be stored in?
- Which sub-processors can access it, and where are they?
- Can I require two-factor login and limit what each user sees?
- How do I export all contacts, notes and conversation history?
- What happens to my data if I cancel?
Clinics should be especially careful. Keep clinical notes in practice software, and do not send health details into marketing workflows.
How should you trial HighLevel?
- Map one lead journey. From the ad or website form to a booked call, on paper first.
- Build only that journey. One form, one instant reply, one follow-up sequence, one calendar with reminders.
- Set up the Australian basics. Regulatory bundle for numbers, consent wording on forms, SMS compliance settings checked.
- Test with contacts you control. Your own phone and email, not real clients, and remove test data before going live.
- Run it for a few weeks. Check response times and booking rates against what you had before.
- Decide with your numbers. Keep it if leads are answered faster and more of them book.
What we learned in our own business
As we said at the top, our own business runs its CRM and follow-up on HighLevel. These lessons come from running automations in our team's education business. They are about automation in general, not faults in any one platform, and they are our own experience, not client results.
- Keep test data out of live sends. A placeholder phone number we used in testing was texted about 43 times over several months from test and fake sign-ups. Now we validate phone numbers and email addresses at the form and keep test contacts away from live workflows.
- Set and forget is a myth. A hidden 1,000-row database limit meant about 30 people received the same follow-up email daily for several days. Whatever platform you choose, test your automations and keep monitoring them after they go live.

Frequently asked questions
What is GoHighLevel used for?
HighLevel is used to capture leads, manage contacts in a CRM, send SMS and email, book appointments and automate follow-up. Agencies use it to run separate sub-accounts for clients. Service businesses use it to bring forms, replies, booking and reminders into one place.
Is GoHighLevel available in Australia?
Yes, Australian businesses can use it, and HighLevel publishes Australia-specific help, including a data and privacy FAQ and a guide to regulatory bundles for Australian local numbers. Check the local setup steps rather than following US guides.
Do I need A2P 10DLC registration in Australia?
HighLevel's help centre describes A2P 10DLC as a registration for standard 10-digit local numbers in the United States. For Australian local numbers, HighLevel requires an approved regulatory bundle. Ask HighLevel support which registrations apply to your numbers.
Is GoHighLevel better than HubSpot?
Neither is better for everyone. HighLevel combines funnels, CRM, messaging and workflows in one platform. HubSpot offers a free CRM with paid hubs and suits firms with longer, email-heavy sales cycles. Trial both with your real enquiry workflow.
Where is GoHighLevel data stored?
When we checked HighLevel's Australian privacy FAQ, it said data is backed up daily to the local region but did not state the country where primary account data is stored. Ask HighLevel directly and get the answer in writing.
Is GoHighLevel hard to learn?
In our experience the basics are quick, but building a reliable system takes planning and testing because the platform does so much. Start with one lead journey, test it with your own contacts and expand from there.
